Booking and Payment Process
We require a minimum of 10% of your total trip to be paid in advance in order to confirm your booking. We require that the remaining balance be paid in full 14 days prior to your departure unless otherwise agreed with a consultant in writing. In this case the remaining balance may be paid at our office in Moshi.
You can always expect an updated invoice from us within 24 hours of receiving your payment.
All transaction related charges must be covered by you. A surcharge of 3.5% shall be applicable to all credit card payments. All banking fees/ commissions must be covered by you when using wire transfers.
If the deposit and final payments made to our accounts are incomplete, we shall charge you for the missing amount upon your arrival in Tanzania.
If you are a travel agent/ tour leader/etc, and are making a booking on behalf of others, you will be the contact person for every participant in the tour. You will be responsible for the following
? Informing the participants of our terms and conditions, and if you consent to them this means that you are giving consent for all participants.
? Completing the payments on time
? Giving all the relevant information to the tour participants in a timely manner. If there are any agreed changes in the tour dates it is your responsibility to inform the participants.
? Providing correct information about the tour participants in a timely manner. It is your responsibility to collect information and ensure it is accurate, we are not liable for any errors and omissions.
If you can not accept responsibility for the above, then we suggest every member of the group to book with us directly.
Guaranteed Deposits
When you place a deposit it is secured for your future trip. Your deposit will never expire and can be applied to any trip that we offer. If your travel plans change, just let us know and we can apply your deposit to another trip.
? Please inform us of 14 days in advance. If the trip has changed due to sudden reasons contact us as soon as possible so that we can choose the best course of action.
? You are responsible for any increase in price that results from changing your trip.
? If you don’t contact us or you do not show up your deposit is non-refundable.
Prices
Once we confirm your booking the price will not be changed, except in the unlikely event of the Tanzanian government increasing park fees or taxes. In which case you may cancel your booking or pay the difference.
Changes to the Itinerary
Changes by Majali Tours
We do our best to make sure that the trip occurs as planned, however, rarely due to uncontrollable situations such as a part of the route not being available due to weather conditions, we may have to change the itinerary and if that happens we will do our best to inform you in advance.
Changes by Client
Any changes can be made to the itinerary free of charge, as long as the changes do not result in any extra cost for us. Any extra cost will be paid by the client. If you decide to discontinue the tour after it started, either voluntarily or involuntarily, you will be liable to cover any extra costs caused by your decision to leave the trip, Such costs may include but are not limited to accommodation and transportation expenses. If you miss the tour service, meal, or fail to use a service we provide acting on your own account, then no refund will be provided.
Changes by Third Parties
Majali Tours shall not be liable for any damage, loss, delay or inconvenience outside of our control this may include but is not limited to flight delays and acts of nature. You or your insurance company will cover costs related to these issues,
Early Termination of a Climb, Tour, or Safari
Sometimes climbers may finish ahead of schedule, or may stop a climb early for health or personal reasons. If this is the case please understand that we cannot offer any refunds for unused days on climbs or safaris. Please understand that our costs are the same as we have an obligation to pay permit fees and salaries to our guides and porters for the time they have committed. This also applies to our safaris and any Zanzibar excursions.
Cancellations
We will reschedule you at no extra charge if your travel dates change, but please provide at least 6 weeks advance notice. All booking deposits are 100% refundable for 30 days from the time of booking. No refunds on deposits will be given after 30 days. This 30 days only applies if you book your tour 90 days in advance, if the tour was booked with less than 90 days before the start of the tour then your deposit will be 100% refundable for up to 14 days after the booking. If you decide to cancel your booking and it is after the 30 or 14 days the following cancellation fees shall apply:
? 90+ days before the start of your tour - we will apply a 10% cancellation fee
? 60-89 days before the start of your tour - we will apply a 30% cancellation fee
? 30-59 days before the start of your tour - we will apply a 50% cancellation fee
? 8-29 days before the start of your tour - we will apply a 75% cancellation fee
All cancellation fees are based on the total tour price
Note: Only the deposit portion of payments is nonrefundable. Any additional payments may be refundable depending on the specific package.
In all cases of cancellations you will be required to cover our non-refundable/ partially refundable expenses, such as hotel reservations, domestic flight tickets, and credit card surcharges from payments you made to us.
No refunds will be given for all cancellations made in 7 or less days prior to the booked travel dates
In the unlikely event of us cancelling your tour for any reason, you will be given a 100% refund of any payments you already made.
Passports & Visas
1. We do not arrange travel documents, so you must make sure that all of your documents are in place.
2. You must have at least two blank pages available for the Tanzanian visa and stamps.
3. Your passport must have at least 6 months of validity when you enter Tanzania.

5. You are responsible for all visa and entry costs
6. The fee for entering Tanzania is $50 for most nationalities and is $100 for U.S nationals. The fee must be paid in USD, EUROS, OR POUNDS.
7. We share information and visa tips but do not consider our recommendations as the ultimate advice. It is best to contact the Embassy of the United Republic of Tanzania for getting the most up to date information and we are not a representative of the embassy.
8. We will not be liable, in the unlikely event that you are denied entry to Tanzania or any other country on the way to Tanzania for whatever reason. If you fail to enter the country for any reason, no refund will be made and it will not be possible to reschedule your tour because all of the park fees and other expenses will have already been prepaid.
Rescue Services on Kilimanjaro
Your park entrance fee includes the cost of rescue off the mountain which will be organized by the Tanzanian National Park Service in conjunction with our team.
Fitness and Medical Information
It is your own responsibility to determine whether you are physically fit for a Kilimanjaro climb or a wildlife adventure and assess your health conditions. Upon your request, our consultants may advise you on this matter. At the same time, we recommend seeking a qualified medical opinion if you are not sure.
? We may ask you to provide certain medical information & to complete our medical form. If you have any pre-existing medical conditions that may have an impact on your ability to visit mountainous or remote regions in Tanzania, or will put yourself or others in danger, we may ask you to have the form signed by a licensed medical practitioner.
? Failure to provide the medical form and have it signed by a licensed medical practitioner may result in the cancellation of your tour with applicable cancellation fees as shown above in the cancellation section of the terms and conditions.
? We may decline your request to take part in our tours if, in our opinion , your medical condition renders you unfit for participation.
? All medical information provided to us will be treated in alignment with the treatment of your personal information section of these terms and conditions.
? We may cancel your participation in our tours without any refund in the following situations.
? If we discover that the medical information provided to us is false, inaccurate or incomplete;
? If, while taking part in our tour, your medical condition deteriorates to the extent that it puts yourself and/or other tour participants in danger.
? If you have any medical or dietary requirements it is your responsibility to inform us within 30 days of your scheduled tour. We offer vegetarian, gluten free, vegan, and halal meal plans. You must agree that we are not liable for any failure to meet any special needs, but we will do our best to accommodate you.
Travel Insurance
Insurance is not included in our packages. In order to participate in our climbs and safaris we require you to have travel insurance. We may not allow you to take part in our tours without insurance. You will not receive a refund in this case. Unlike rescue insurance travel insurance covers your cost related to cancellation charges, unexpected curtailment of your holiday, medical and repatriation expenses including air ambulance, personal accident, delay loss or damage to your personal effects.
We recommend WORLD NOMADS if you don’t already have a provider.
Your Liability for Damaged and Destroyed Property
If you willfully destroy or damage our property such as vehicles, tents, or gear that you rent from us we will charge you the cost to repair or replace the damaged goods. Any indemnification for destruction or damage must be settled before your departure to your home country.
Vaccinations and COVID 19
In regards to any vaccinations that you may need we suggest that you consult with your doctor. Make sure that you take a PCR test before you enter the country and you will need to take another when you exit the country.
Accommodations
Our prices for group climbs include shared accommodation. You will be in a double or twin room with another traveller either within your group or with the same sex as you. If you wish to stay alone please inform your booking agent when you book, you will incur an additional fee for a single room.
On mountain Kilimanjaro you will share a 3 person tent with 1 other traveller of the same sex. If you wish to have a tent just for yourself then you will incur an additional fee.
Lodge Safaris & Tented Camp Cancellations and Payments
We require 50% of the payment at the time of booking If you are booking a tented camp or lodge safari in order to confirm your accommodation bookings. If you decide to cancel this is not refundable. Changes in dates might be possible but additional fees will apply. If you need to change your dates we will work with you to minimize potential fees. Please give as much advance notice as possible.
Media and Images
You agree that our employees and other tour participants may take photos, videos, and other media during our tours. The photos and videos may contain your image, by taking part in our adventure you agree that we and our partners may use this media for marketing, promotions, and advertising without any compensation to you including royalutes. Please inform our staff if for any reason you do not want your image to be taken by any cameras and we will do our best to comply with your wishes.
Force Majeure
We shall not be liable for anything that may happen because of force majeure, this includes, but is not limited to war or military operations, natural cataclysms, breakdown of mechanical facilities, fire, vehicles, civil disturbances, labour disputes, actions of the government authorities, political unrest, insurrections and mutines, extreme weather conditions and other calamities or situations beyond our control and that we could not foresee.
Laws
The laws of the United Republic of Tanzania shall apply to any disputes.
